How to manage your Glossary?

Once a Glossary is created, you can add, remove, and structure terms, import term files, manage target languages, organize translatable and untranslatable terms, filter and sort entries, or export your terms.

Understanding the Glossary tabs:

Every Glossary organizes entries into two distinct tabs at the top of the table:

  • Translatable terms: Domain-specific vocabulary and technical terms with approved translations.

  • Untranslatable terms: Fixed brand names, trademarks, or legal entities that must stay in the source language.

Adding terms to a Glossary

There are two ways to populate your Glossary with terms:

  • Add terms manually: Follow these step-by-step instructions to enter terms directly within the table view.

  • Import term files: Upload existing term lists (such as CSV or TBX files). For detailed instructions, see our guide on simple and advanced CSV import.

Attaching (context) images to terms

To help translators visualize terms, you can attach images:

  1. Navigate to the Untranslatable terms tab.

  2. Hover over the Image column for a term row and click the + button.

  3. In the upload window, drag and drop image files or click browse / Add image (supported formats: jpeg, jpg, png, webp, svg, gif; up to 20 files, max 10MB each).

  4. Click Upload to save the images to the term entry.

4. Filtering and sorting Glossary terms

When working with large term lists, you can quickly locate entries using search, custom filters, or sorting rules:

Searching

Use the Search input bar above the table to find terms, descriptions, or translations in real time.

Applying custom filters

  1. Click the Filter icon next to the Add term button.

  2. Configure your filter criteria using logical operators (and / or):

    • Locale filter: Filter by target locale matching conditions such as is, is not, is in, is not in, matches, does not match, or matches (case-insensitive).

    • Created at filter: Filter entries by creation date using operators like is, is less than, is greater than, is within, or is empty.

  3. Click Apply

Sorting entries

  1. Click the Sort icon (up/down arrows) next to the filter button.

  2. Choose your primary sorting attribute from the dropdown (e.g., Created at) and select Ascending or Descending order.

  3. Click Apply.

Managing target languages in your Glossary

Glossaries allow you to manage terms across multiple target languages:

  • Add a new language: Click the + Add language button in the Glossary table header. Search or select your target language from the dropdown menu and click Save.

  • Language column actions: Click the three dots icon next to any language column header to Change language, Duplicate language, or Delete language.

Bulk actions, renaming, and deleting

  • Duplicate or delete terms in bulk: Select the checkboxes on the left side of term rows to choose individual or all entries. Click Duplicate or Delete in the top action bar.

  • Rename a Glossary: Click the three dots icon next to a Glossary row in the overview list (or inside the Glossary header menu) and select Update name.

  • Delete a Glossary: Click the three dots icon and select Delete.
