LingoHub makes it easy to collaborate with your entire team. Whether you are bringing in a new member or adjusting the permissions of a long-time teammate, you can manage all user access from a single, centralized dashboard.
To provide maximum flexibility, you can invite users to your Workspace in two ways: via direct email or via a shareable link.
How to access the invitation modal
You can open the invitation wizard using two different paths:
Option A (Direct shortcut): Click the Workspace icon in the top-left corner and select + Invite members directly from the dropdown menu.
Option B (Via dashboard): Click the Workspace icon in the top-left corner, select Members & Roles, and then click the blue + Invite members button in the top-right corner of the overview page.
1. Invite via email
This is the most common way to add specific team members to your Workspace.
In the Invite via email tab, select a Workspace role from the dropdown menu (e.g., Admin, Localization Manager, or Member).

Enter the email addresses of the colleagues you want to invite.
Click Send invites.
Defining project permissions (Member role only)
If you select the Member workspace role, you can define project-specific access directly within the invitation wizard.
💬 Please note: Higher-level roles (such as Admin or Localization Manager) automatically receive broader workspace-wide access.
To grant project-specific access, configure the following:
Projects: Select one or more target projects from the Projects dropdown menu.
Project role: Assign a specific role to each selected project (e.g., Translator, Localization Manager, Owner).
Languages (Translator role only): If you select the Translator project role, you can restrict access to specific target languages by clicking Add Language and setting the appropriate permission level per language:
Translate: Allows the user to edit and save translations.
Manage: Gives the user permission to approve translations.
Email invitation statuses
You can track the progress of your invites in the Invitations tab. The following statuses apply to email invitations:
PENDING: The invitation has been sent, but not yet answered.
ACCEPTED: The user has joined your Workspace.
DECLINED: The user has rejected the invitation.
EXPIRED: The invitation link in the email is no longer valid.
2. Invite via link
If you want to invite multiple people at once without entering individual email addresses, you can generate an invitation link.
In the invitation wizard, select Invite via link.
Choose the Role that will be assigned to anyone who joins via this link.
Set the Allowed uses (how many times the link can be used).
Select an Expiration date for the link from the calendar picker.
Click Create link. You can now copy and share this link with your team.
Link invitation statuses
To maintain security, you can monitor the state of your active links in the Invitations tab:
ACTIVE: The link is valid and can be used to join.
EXHAUSTED: The link has reached its maximum number of allowed uses.
EXPIRED: The set expiration date has passed.
DEACTIVATED: The link has been manually disabled by an Admin or Owner.
